Emails and Scheduling
Send candidate communications and schedule meetings directly from Elly — without leaving the candidate's profile.
Sending emails from Elly#
With your email account connected (see Connect Integrations), you can email candidates from inside Elly. The message is sent through your actual mailbox, so replies land in your normal inbox and are threaded back onto the candidate's profile.
To send a message:
- Open the candidate's profile.
- Click Email.
- Pick a template (or start from scratch), write your message, and send.
The message, and any replies Elly detects, appear on the candidate's activity timeline.
Email templates#
For messages you send often — initial outreach, scheduling requests, rejections — save them as templates.
Templates support variables like {{candidate.firstName}} and {{job.title}}, which are filled in at send time.
Scheduling a meeting#
From a candidate's profile, click Schedule. Elly will:
- Check your calendar (if connected) for available slots.
- Let you propose a set of times to the candidate via email, or book a specific time directly if the candidate has already confirmed.
- Create the calendar event and send invites to you and the candidate.
You can choose whether to include a video link (Google Meet, Zoom) and whether to invite the Elly notetaker.
Phone and video meetings#
Elly supports two kinds of meetings with built-in recording and transcription:
- Phone calls via Twilio — Place an outbound call from Elly; both sides are recorded (with disclosure) and transcribed.
- Video calls via the Recall notetaker bot — The bot joins your Zoom, Google Meet, or Teams call to record and transcribe.
Each of these costs 5 credits per call for the post-call summary. See Billing and Plans.
Meeting records#
Every meeting you hold through Elly — phone call, video call, or AI interview — produces a meeting record with the recording, transcript, and AI-generated summary.
These records are the domain of the Notetaker section. From here you just need to know:
- Meeting records appear on the candidate's timeline.
- You can open any record to read the transcript and summary.
- Summaries are structured by the scorecard template attached to the stage or job — see Scorecard Templates.
